Automated Profile Delivery

Account Managers can configure a tailored Spreadsheet Server profile using the Profile Configuration Wizard. The wizard scans the ERP database schema automatically, guides you through GL account structure and segment definitions using yes/no questions, validates data in real time, and saves the completed profile and ad hoc queries to Platform Storage.

The initial release supports Viewpoint Vista and MRI Platform X.

Before You Start

  • A provisioned insightsoftware Platform account with users added and licenses assigned
  • Account Manager role is required to run the wizard and make profile changes
  • Viewpoint Vista customers: The Viewpoint VPN must be in place before the ERP connection can succeed. The VPN is available at no additional cost from Viewpoint.
  • MRI Platform X customers: The MRI VPN must be purchased from MRI and enabled before the ERP connection can succeed.

Note: No new SKUs are required. This feature uses the existing Professional Bundle with Platform SKUs.

Access the Profile Configuration Wizard

The Profile Configuration Wizard is a standalone desktop application. You can access it from the following locations:

  • Windows Start menu
  • Spreadsheet Server installer — the wizard launches automatically when installation is complete

Note: The wizard launches automatically after installation so that you know additional setup steps are required before opening Excel. If configuration files are already present, this step is skipped.

Step 1: Set Up an ERP Connection

Before proceeding, gather the following information:

  • Host name or IP address
  • Database name
  • Credentials (username and password)

Note: If an existing connection is already configured, you can select it and proceed without entering new connection details.

  1. Open the wizard. From the Windows Start menu, click Spreadsheet Server Suite > Profile Configuration Wizard.
  2. On the ERP Connection screen, select your ERP from the list.
  3. Enter the Host Name or IP Address, Database Name, and your credentials.
  4. Click Test Connection to verify that the connection is successful.
  5. Click Next to proceed to profile configuration.

Step 2: Configure the Profile

The wizard scans the ERP database schema automatically to identify table structures and GL account fields, including any custom segments. It then presents a proposed profile for your review.

Review the Proposed Profile

  1. Review the account structure that the wizard has identified.
  2. Click Yes to confirm, or No to make adjustments.

Define the GL Account Structure

  1. On the GL Account Structure screen, specify the segmentation of your General Ledger account number and the total number of digits.

Answer Configuration Questions

The wizard guides you through a series of yes/no questions based on your organization's account structure:

  • Are you using custom segments? If so, does the list displayed look correct? Are any segments missing?
  • Are you using custom fields? If so, does the list displayed look correct? Are any fields missing?
  • Are there custom account definitions used outside of the standard ERP definitions?

Note: The wizard uses the term 'account definition/dimension/segment' to describe what Spreadsheet Server refers to internally as a segment. Example scenarios are provided at each step.

Use the Lineos AI Assistant

An AI-powered chat interface is available within the wizard. You can use it to ask questions about your profile configuration at any point during setup.

Step 3: Validate Your Data

After completing the configuration questions, validate your data to confirm that the account structure is correct before saving.

Test Account and Segment Combinations

  1. On the Data Validation screen, enter a specific account and segment combination in the fields provided.
  2. Click Run to see how the data is returned.
  3. Review the results to confirm that the values are correct.

Preview Drill-Down Results

  1. Click Preview Drill Down to view balance and journal results.
  2. Confirm that all required segments are captured in the drill-down output.

Test GXC Descriptions

  1. Click Test GXC Descriptions to confirm that GXC-type descriptions are returning correctly.

Note: You can run validation as many times as needed. Click Back to return to earlier steps and make adjustments. The wizard can also be re-run from the beginning at any time.

Step 4: Save and Complete

  1. Click Save to Platform. The profile and ad hoc queries are saved to your organization's Platform Storage account.
  2. When prompted, click Download Local Backup to save a local copy of the profile files. This step is optional but recommended.
  3. Click Finish to close the wizard. Spreadsheet Server is now ready to use with your tailored profile.

Note: insightsoftware retains a backup of your profile organized by customer account.

Modify a Profile After Initial Setup

To update or modify a profile after initial setup, re-run the Profile Configuration Wizard. The wizard reads the existing profile and allows you to make changes by working through the configuration steps again.

Note: If the automated profile generation does not produce the expected results, click the Help button within the wizard to contact your Account Manager.

Existing Customers Migrating to This Version

If your organization is migrating from an earlier version, you do not need to complete the Profile Configuration Wizard. The wizard detects your existing profile and ad hoc queries and reads them automatically.

Limitations

The following scenarios are not supported in this release:

  • Text fields used for accounts instead of the standard account field
  • Segments pulled from non-standard tables
  • Adjustment periods, multi-calendars, or mid-year start configurations
  • Additional on-premise ERPs other than Viewpoint Vista and MRI Platform X
